§ 01The difference
Most AI tools work by sending your files somewhere else.
AI receptionists, chat assistants, and document tools typically process your data on the provider's servers. For a practice bound by HIPAA, privilege, or financial-privacy rules, that means another company holding your clients' information. We build the other kind.

Ask it plain questions — how many new inquiries came in this month, how many booked, which referral sources are sending clients, which follow-ups are overdue — and get an answer drawn from your own calendar, intake records, and reports, with the source shown. It can only report what your systems already record; where the data isn't there, it says so.

We spend time in your office first: how calls come in, where files live, what eats your staff's week. You get a written plan ranking which jobs are worth giving the assistant first, which aren't, and what each would cost — yours to keep, whoever builds it.

Build
We configure the assistant around your office: your intake questions, your templates, your tone, your hand-off rules. We test it on your own non-sensitive examples before anyone relies on it.

Install
We put it on hardware in your office or a private server you control, connect it to your calendar, email, files, and practice-management software, and set who can reach what.

Support
We train your staff, keep the models and security patches current, check that it's working, and add new jobs as your needs change. You have a named person to call.
Where it runs.
Both are options we set up today, and neither is magic: a model running in your office is not as broadly capable as the largest cloud models, and a hosted model is only as private as its provider's terms. We'll tell you plainly which fits each job.

The assistant and everything it reads run on a machine in your office or a private server you lease and control. Nothing about your clients is sent to an outside AI provider. This is how we build unless you decide otherwise — it's the setup in the floor plan above.

Option · when speed matters more
On a faster hosted model
For work where speed matters more than strict isolation — drafting marketing copy that contains no client information, for instance — some jobs can run on a hosted model instead. The text for those jobs is then processed by that model provider under its terms. We name the provider in your plan, and you decide which jobs, if any, may use it.

For general knowledge and open-ended writing, the largest cloud models are still ahead. For the work most practices actually need — answering from your own documents, drafting from your templates, handling intake — current open models running on a single office machine are capable. During the audit we test on your own non-sensitive examples, so you can judge before you commit.
